Julia Dale
Government
Julia works for local government in charge of distribution
and creation of legalisation. This requires her to meet with
various different local and national government organisations
to gather economic and regional data, in order to prepare
parliamentary briefs and documents. Unfortunately, today’s
government is not electronically linked together and as such
data needed to produce publications or briefs resides on many
different systems and often in different formats. This causes
Julia to spend long hours re-formatting and then emailing
and receiving data to other government offices. Once Julia
finally has all the information she needs to prepare her publications
or briefs she must then send these to other colleagues or
counterparts to get their input. In the past this has lead
to many problems with version control and once the wrong version
of legalisation was actually sent to print.
Julia realises that it will take several years for the government
to join together on one system and as such she looked to Protocol
to aid her in sharing and collaborating with other government
offices. The reason Julia liked Protocol was it did not require
her or those she needs to share and collaborate with to change
any of their current working practices or stop using their
current IT solutions. This was because through Protocol all
Julia and her counterparts needed was a simple web browser
to be able to interact and achieve their communal goals.
Protocol has been a huge time and effort saver for both Julia
and her counterparts as they can all now access a virtual
room for each legalisation publication, add the data each
other needs, access and contribute to version-controlled documents,
undertake chat session and even arrange meetings. In the past
this was not possible as many of Julia’s counterparts
used different IT solutions and platforms.
Protocol has not only simplified and enhanced the quality
of Julia’s work but has also allowed her to gain best
practices, capture knowledge and strengthen the relationships
she has with her counterparts ensuring her role and organisation
ultimate success.

The success of one person in a project normally
depends on the success of others involved. If teams are disparate
then this individual and project success is often at risk.
- Protocol creates a stable and familiar environment throughout
the project improving coordination, communication and interactions
albeit virtual between project members. The result reinforces
project cohesion.
- By incorporating Protocol all team member enjoys increased
access to other’s expertise, allowing all to gain
from a shared knowledge base and obtain access to project
critical information. This results in a reduction in the
learning curve necessary to implementing management procedures
and the amount of training required for new team members
to be brought up to speed with the project.
- Protocol helps the team facilitates efforts amongst them,
and with the client. By proving this interaction Protocol
helps the team understanding the client’s requirements
through allow closer works with the client.
- All project teams has visibility of the projects progress,
individual items progress and all associated risks enabling
them to be proactive regarding risks and add real value
to the project achieving its goals
- Using Protocol the company has a whole can work like a
precise well oiled machine
